Terms & Conditions
1.0 Payment of price
1.1 The deposit of the full hire charge will be payable upon securing your date. Wills Horsebox Bar will not make any other reservations for that date and time, for this reason, all deposits are non-refundable
1.2 If you are having a subsidised (package) bar, this payment is to be made no less than 6 weeks prior to the event date (or at the time of booking if the event date is less than 6 weeks)
1.3 If you are having a (PAYG) pay as you go (package) bar, the minimum spend of £800.00 is to be paid no less than 6 weeks prior to the event date (or at time of book if the event date is less that 6 weeks). The £800.00 or the difference will then be available for refund as soon as this amount is met behind the bar on the day. This will be transfered via next day BACS, as agreed at the time of booking
1.4 If you are having anything additional or bespoke (package) along with either 1.2 or 1.3, this payment is to be made no less than 6 weeks prior to the event date (or at the time of booking if the event date is less than 6 weeks)
2.0 Cancellation
2.1 If you cancel within less than 28 days before the date of the event, we will only refund 50% of the (package) price agreed at time of booking
2.2 If you cancel within less than 14 days before the date of the event, no refund will be made from the (package) price
3.0 Wills Horsebox Bar obligations
3.1 We will provide the drinks in accordance with our pre-agreed quotation at the event
3.2 We will supply in addition to 3.1, disposable glassware and decorations as listed in quotation
3.3 We will provide all additional requirements specified and agreed at the time of the booking
4.0 Client’s obligations
4.1 You will provide the venue for the event and give us access at least 1 hours before the event. If any special requirements are requested, access time and pricing will need to be discussed
4.2 Easily accessible parking spaces will be required to enable us to park our vehicles once the horse box is in situ. This will need to be accessible after the agreed time of our attendance is up, to enable our horse box to be taken away
4.3 Access to a 13amp power supply, at or near to the bar location
4.4 If you are providing refreshments with a meal prior to the bar opening – you agree to allow Wills Horsebox Bar 15 minutes before opening, to inform guest that the bar will be opening and all provided refreshments remaining on the tables at the bar opening will be collected and retained by Wills Horsebox Bar. (Law – It is against the law for any guests to consume alcohol not provided by the Licence holder at the venue, in the same way a pub or club would operate. As the License holder we are deemed by the authorities to be the person responsible for the sole distribution of alcohol during the event. If it is discovered that any person is consuming or distributing alcohol other than what has been agreed, we will inform the client to have this cease. Should it continue we will close the bar immediately and any monies agreed upon will be liable to be paid. It is our legal duty to close the bar.)
5.0 Insurance & Legal
5.1 Wills Horsebox Bar will act on behalf of the client in all discussions and licence applications with the Council and venue. We cannot guarantee that a licence and/or opening times required will be granted as the final decision rests with the local licensing authorities
5.2 Wills Horsebox Bar hold Public Liability and Employment Liability, thus fully insured
5.2 Please note that we are unable to serve alcohol to anyone under the age of 18
6.0 Force Majeure
6.1 Neither party shall be liable for any breach of its obligations resulting from causes beyond reasonable control which may include fire, war or military hostilities, natural disaster, acts of God, death/serious injury/illness of a family/friend/Wills Horsebox Bar or any other unavoidable accidents
6.2 Each of the parties agree to give notice immediately to the other upon becoming aware of an event of force majeure and such notice shall contain details of the circumstances giving rise to it
